A SNAPSHOT OF YOUR ROLE:
As the Executive Assistant to the Chief Executive Officer (CEO) this position provides high level executive and personal support to our founder and CEO and at times other executives with extensive travel obligations and administrative support. You will be a proactive problem solver with exceptional communication and organizational skills and a meticulous attention to detail. You will be supporting by organizing and maintaining schedules and assisting by performing a variety of tasks across both personal and business areas. The ideal person is highly self-motivated, professional and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
KEY RESPONSIBILITIES:
Manage business and personal schedules of the CEO, including proactive diary management, arranging and scheduling appointments, agendas, calls, travel and accommodation arrangements.
Calendar management, scheduling of meetings, assisting with preparation prior to meetings and managing travel itineraries
Management of personal invoices, reconciliations and other items as directed
Maintain professional and strict confidentiality with all materials and exercise discretion when interfacing with the business
Act as the point of contact between the executive and internal and external individuals
Precise note and minute recording for meetings when required
Maintain and refine internal processes that support the CEO both business and personal tasks
Develop and sustain a level of professionalism among staff and clientele
Preparation of internal and external corporate documents
Organize and plan events as required
Greet and welcome guests when they arrive at the office
Arrange catering for meetings and events
Other personal and business tasks as requested
A BIT ABOUT YOU
5+ years’ experience as an Executive Assistant, Personal Assistant or similar role
High level of organisational, and time management skills
Excellent verbal and written communication skills
Discretion and ability to handle sensitive information confidentiality
Ability to manage multiple tasks at once and prioritize accordingly
Punctual and well-presented with friendly disposition
Potential overseas and interstate travel to the companies offices that are located across Australia, United States, Philippines and the Dominican Republic
