You will be responsible for supporting all aspects of our Community Health Paediatric and Counselling team's business ensuring a smooth running of our clinics and program. Working collaboratively with the Allied Health Services and the broader Primary Health program, you will help to ensure quality service delivery and robust systems and processes.
You will provide services of office administration including;
- Track and prioritise requests via admin email.
- Assist with planning and delivery of multi-disciplinary group activities such as coordination room bookings, organising resources, documentation of consent, feedback and outcomes reporting.
- Prepare and format templates, reports, manuals and documents (e.g. customer correspondence, agendas, minutes, newsletters, flyers)
- Book and confirm appointments via SMS, documenting such activities in Trakcare, including booking of interpreters.
- Assist with the creation of new health records, registering customers, archiving, retrieval and general filing of records.
- Clear effective communication with stakeholders across all levels of the Allied Health teams and programs
This role requires a highly motivated, well organised person who has high levels of initiative and thrives in a busy environment. The successful applicant will be a team player with strong analytical, communication and time management skills. You will be able to effectively engage with our customers and key stakeholders, and will demonstrate a person-centred, customer centric and community inclusive approach.
To succeed in this role, you will bring:
- Well-developed administrative skills – attention to detail and accuracy skills
- Confidence using MS Office Suite applications.
- Demonstrated customer service skills.
- Ability to work autonomously and as part of a team.
- Ability to problem solve, organise and prioritise work.
- Confident and effective communication skills
- Experience working in an office administrative role.
Mandatory Requirements
- A current Working With Children’s Check is essential.
- Have full Australian working rights and a National Police Clearance
Highly Desirable Skills
- Knowledge and experience in customer service and data entry
- Experience supporting Allied Health teams
- Experience using Trakcare
