We have a great opportunity full-time permanent opportunity for an experienced and confident Executive Assistant to provide a high level of support to the Executive General Manager, Strategy & ESG in their day-to-day activities and ensuring the smooth operation of NRMA’s Strategy team. The role requires exceptional administrative skills, excellent communication abilities and a keen eye for detail. You will have the opportunity to work closely with the Executive General Manager (“EGM”) and their leadership team, contributing to the strategic and operational success of the NRMA.

The role requires attendance primarily at our Sydney CBD office however there will be times where you will need to attend our Sydney Olympic Park office as agreed and required for the role, with some flexibility to work from home.

Your key responsibilities will include, but not limited to:

  • Manage the EGM’s calendar, schedule appointments, and coordinate meetings, both internally and externally
  • Arrange travel logistics, accommodation, and prepare itineraries for the EGM’s work related travel
  • Organise and prioritise incoming correspondence, including emails, letter and phone calls, ensuring timely responses
  • Prepare and edit documents, presentations, and reports on behalf of the EGM, maintaining a high level of accuracy and confidentiality
  • Coordinate and oversee special project, initiatives, and events as assigned by the EGM
  • Draft and disseminate internal communications, announcement and memos on behalf of the EGM
  • Manage and respond to inquiries addressed to the EGM, redirecting them as appropriate and providing necessary information
  • Assist in preparing presentations and speeches for the EGM at conferences, meetings and events
  • Collect, compile and analyse data to support decision making processes and provide regular reports to the EGM
  • Research and gather relevant information for the EGM’s meetings, presentations and projects
  • Build and maintain effective working relationships with key internal/external stakeholders, including executives, senior leaders and team members, maintaining positive and professional relationships
  • Coordinate and schedule team meetings, workshops and other internal events for the Strategy team
  • Collaborate with other executive assistants and administrative professionals to ensure smooth cross functional operations
  • Maintain an organised filing system for documents, records and confidential information.

About You

  • Must have proven experiences as an executive or personal assistant, supporting C-level executives in a medium-large professional organisation
  • Knowledge of company strategy practices, processes and terminology is desirable  
  • Proficiency in using productivity tools such as MS Office Suite and calendar management systems
  • Excellent written and verbal communication skills, with exceptional attention to detail
  • Ability to handle sensitive and confidential information with discretion
  • Outstanding organisational and time management skills, with the ability to prioritise and multitask effectively
  • Strong problem solving abilities and the capacity to make information decisions independently
  • A proactive and resourceful mindset with the ability to anticipate needs and take initiative
  • Confident and approachable demeanour, with excellent interpersonal skills.
