DroneShield is seeking an Information Management Coordinator with relevant experience to join the team in Sydney, NSW.
The position will report to VP of Design and will work closely with the Production Team, members of the Operations Team and the Procurement Team.
The Production Team is expanding in response to increased production quantities and product complexity. DroneShield is looking to recruit an Information Management Coordinator who will help to keep production on track, ensure products are built to a high standard and the production area remains compliant.
This role will suit someone with excellent attention to detail and a passion for technology who wants to develop their career in a fast-moving ASX listed defence technology company.
Responsibilities, Duties and Expectations
Ensure the latest documentation is printed and provided for new production batches
Ensure documentation is uploaded to data bases and folders
Generate serial numbers and allocate to respective records
Create and maintain production records
Manage and distribute tasks through platforms for the production team
Ensure equipment and tools within the production area calibration is actioned and recorded to correspond to procedures on time and organize the repair/replacement of damaged or out of spec. equipment
Keep production area organized according to procedures and record as neccessary
Maintain a clear distinction between production and R+D tasks
Maintain various registers within the production area (for example, Safety Data Sheet register)
Generate NCRs where needed and manage the resolution of quality issues with suppliers
Generate and maintain database documents and update when required
Collate feedback from the Production Team and communicate with various departments within the Tech Team
Identify inefficiencies and recurring issues and develop solutions and improvements to process
Ensure production timelines are accurate and communicate delays or issues to the team
Schedule kitting tasks and manage priorities to minimize downtime on the production floor
Qualifications, Experience and Skills
Experience with SharePoint Online and the Office 365, Confluence, Jira, and Odoo platforms
Excellent knowledge of configuration and out of the box capabilities of Office 365, SharePoint Document Management, Workflow, Search and Content Management
Excellent communication both verbal and written
Relevant Tertiary level qualification or demonstrated experience in information management
Tertiary knowledge of web technologies (HTML, etc.)
Knowledge of information management practices, particularly, document management, portals, collaboration, classification, naming conventions and search optimisation
An understanding of key usability and accessibility standards
A high level understanding of records management policies
Proactively utilises initiative, innovation and a commitment to continuous improvement
Demonstrable experience in the development, use and administration of electronic document management systems (EDMS), to meet record keeping including the creation, maintenance, storage, archiving and retrieval of files
Experience running information management systems
Experience in providing responsive and effective internal and external stakeholder management
Experience in providing support and document management to manufacturing, procurement, design, and operations is required
2+ years of experience with SharePoint Online and the Office 365 platform.
Demonstrated a career experience developing solutions using the Office 365 and SharePoint Online, Confluence, Jira, and Odoo platforms
Excellent knowledge of out of the box capabilities of Office 365, SharePoint Document Management, Workflow, Search and Content Management
Demonstrated team work skills
Proficient in IT applications, including web applications and Microsoft Office suite, Confluence, Jira, and Odoo with accurate word processing and data entry skills
Commitment to continuous improvement practices
Ability to show initiative and implement and communicate change effectively
Effective communication skills to respectfully engage with the business
Time management and ability to prioritise competing work demands
