SALES & COMMERCIAL

• Generate creative ideas which encapsulate and enhance client briefs
• Develop sales collateral for key sponsorship opportunities
• Collate information to present to sales house
• Help develop new opportunities for revenue across digital and key partnerships
• Assist with the logistics and workflows of campaign execution 
• Manage live campaigns to ensure full and timely delivery
• Understanding of digital sales and inventory booking
• Keep sales houses up to date with audience forecasts, programming and digital information, promos and schedules
• Work with the creative & production department to coordinate sponsorship material 
• Track reporting across platform metrics, sales sponsorships and finance PO’s

PR

• Work and support PR for press releases, monthly highlights, coverage reports, finance PO’s, talent/events and business organisation  

MARKETING

• Executing and manage social plans across APAC portfolio including 7Braov, Bravo New Zealand and DreamWorks APAC. Tasks include copywriting and publishing social posts, creation of Stories using Canva, sourcing content, execution of ad sales social media commitments, social media monthly reporting
• Managing and building eDM database, containing critical datasets for future business marketing and targeting for OTT Apps and Platforms
• Coordinating between Marketing and Legal in the assistance of Terms & Conditions for social giveaways

ADMIN

• Provide administrative support to the ad sales and marketing team 
• Assist in organising sales trade and sponsorship events
• Tracking budgetary spending, setting up vendors, raising purchasing orders for all sales and marketing activities and ensuring invoices are received from suppliers. 

This role is integral to enhancing productivity for the Occupier Services business through delivering excellent marketing campaigns and the management and compilation of bid submissions/pitches to help the national team win more work from existing and new clients. The Occupier Services business is a diverse National business that is has sustainable year on year growth and we are looking for dynamic person who wishes to grow with the team.

As part of this role, you will assist the Marketing & Submission Manager to promote completed projects with some very fun and well-known brands.

Key to the success of this position is a can-do attitude with a desire to upskill as a marketer through continual collaboration with the national team, monthly monitoring of agreed metrics, championship of systems, tools and resources, and alignment with the company’s brand strategy and business goals.

The core tasks include:

• Work closely with the Occupier Services team to prepare submissions, presentations, pitches and marketing materials, including resourcing information and case studies.
• Assist the Marketing & Submission Manager to improve marketing basics: client-focused marketing collateral, brand awareness campaigns, industry awards, media publications, email campaigns and social media.
• Act as a marketing support for the Occupier Services team addressing operational and day-to-day questions.
• Assist and coordinate project marketing collateral including but not limited to video, email marketing and social media activities.
• Act as a brand guardian for the Colliers brand. This includes monitoring, enforcing, and promoting compliance to the branding guidelines.

About the role

The Project Coordinator is responsible for coordinating all aspects of a project. This busy role involves juggling multiple deliverables, so requires excellent organizational and time management skills. The successful candidate will embrace the ever-changing landscape and keep across the delivery requirements for our customers all while maintaining internal systems for their assigned workload.

• Coordinating project schedules and helping ensure that projects are delivered within given timeframes and meet user requirements and are easily maintainable.
• Coordinating documentation, design and development of projects.
• Contacting company personnel at all organizational levels to gather information and prepare reports.
• Providing analytical and administrative support
• Interacting extensively with key stakeholders including sales & account teams, technical & systems engineering teams and project management team leadership and support functions
• Assisting with the reporting on the progress against project timeframes, milestones and budget.

• Assisting and providing support for the project team to deliver maximum levels of productivity.
• Analysing problems, determining approach, compiling and analysing data, and preparing reports/recommendations.

• Ability to successfully deliver projects, coming in on time, to scope, quality and within budget.
• Ability to work on assignments requiring considerable judgement and initiative.
• Assures adherence to budgets, schedules, work plans, and performance requirements.

Reporting to the Precinct Conference & Events Sales Manager, the Conference & Events Coordinator is responsible for, but is not limited to;

• Coordinating events which includes liaising with the client, preparing & distributing banquet event orders and following the hotel billing and follow up procedure
• Conduct and host site inspections with clients & suppliers including follow up.
• Build relationships with contracted clients and upsell additional products and services.
• Liaise with the Hotel operational teams to ensure exceptional service & successful events are achieved.
• Responsible for pre-event and post event invoicing. Post event invoices to be issued next business day of event completion.
• Handle incoming telephone calls and follow through using own initiative.
• Answer all calls promptly, within 3 rings using specified greeting for hotel, in a courteous and efficient manner. Ensure that all relevant information is obtained.
• Coordinate and host familiarisation and site inspection activity including follow[1]up.
• Maintain effective communication with the Conference & Events Manager providing market intelligence on a regular basis and understanding of competitor strengths weaknesses and ongoing sales activities.
• Maintain existing customer base to ensure their business is retained by building and developing relationships.
• Adhere to Hotel’s rate structure with variations approved by the Conference & Events Sales Manager
• Use of Delphi to accurately record all client requirements including all related block activities.
