About the Opportunity

Reporting to the Executive Director, Oceans. The successful candidate will provide exceptional administrative and operations support. Working collaboratively with other Focus and Enabler areas, and Corporate Services as part of our matrix structure. Including supporting the Oceans leadership team on accounting, people, recruitment, IT, and other administrative matters as required.

This role facilitates and coordinates, tracks, and prioritises a range of critical tasks and projects in support of the broader Oceans team including:

• Managing and coordinating the day-to-day operation schedules, calendars, and appointments for complex meetings, and domestic/international travel arrangements across multiple geographies and time zones.
• Coordinating team meetings, preparation of agendas, capturing action items and arranging attendance of guest speakers. 
• Managing logistics, scheduling, planning, and disseminating of materials for events, expeditions, workshops and interface with Chair and Co-Chair Offices.
• Records and data management including, but not limited to, management of Microsoft Teams pages, SharePoint site and maintaining an organised filing system.
• Management of administration and travel budget items, including overseeing expense reporting.

The successful candidate will also manage one direct report and supervise and manage the workload of Administration Coordinators responsible for planning and management of domestic and international travel, expense management, purchase requisition and invoicing support. Supporting events and meeting coordination for program heads.

About the Role

The Coordinator will provide administrative and operations support to the Walk Free team as well as assist with partnerships, reporting, communications, and some general administrative support.

To deliver executive support across a broad variety of operational and administrative tasks including diary and travel management, email management and meeting preparation for the Walk Free leadership team.

Specifically duties will include:

• Provide general administrative and operations support to the Walk Free team, including:
  • Support the leadership team as required – scheduling meetings, circulating information, ad hoc administration assistance
  • Provide operational support, including, but not limited to, maintaining an organised virtual filing system, create team meeting agendas, capture action items, process financial expenses, and manage administration of external stakeholders and partners. 
  • Records and data management including, but not limited to, management of Microsoft Teams pages, SharePoint site, maintaining an organized filing system, tracking, and prioritizing tasks and projects. 
• Support stakeholder engagement:
  • Liaise with partners and stakeholders as a point of contact for onboarding processes, contract management, invoicing, and general project management requirements.
  • Support the partnership onboarding process and the relationship with stakeholders throughout the project life cycle to achieve maximum impact, results, innovation, and program development (iHuB).
  • Proactively track current contract requirements and ensure critical actions are completed on time.
• Proactively manage team travel logistics and preparation, including:
  • Develop detailed travel itineraries and manage travel arrangements (airlines, drivers, and other providers as needed).
  • Provide assistance through researching and preparing materials for presentations and meetings.
• Work closely, and collaboratively, with the leadership team to ensure whole of team cohesion and workflow transparency.

We currently have a unique opportunity for a People and Culture Team Coordinator to provide wide and varied administrative support to the People and Culture Team. Based in our iconic offices on the Swan River, this role sits within our Corporate Services division, delivering functional expertise as part of a joint team where business and philanthropy intersect. Are you our Injury Management Coordinator?

DOF is currently seeking an experienced and dedicated Injury Management Coordinator to join our team. As the Injury Management Coordinator, you will be responsible for the following:

• Proactively managing the Injury Management Process and Return to Work Programs for DOF - APAC within relevant legislative and company guidelines.
• Ensuring the relevant Country, State or Territory specific Worker’s Compensation legislation is adhered to.
• Managing injuries or illnesses incurred at work to deliver the best outcome to the employee and Company.
• Managing insurance claims in conjunction with Insurance Specialist and aligned with the DOF Claims process.
• Liaising with the company appointed workers compensation insurers and brokers to ensure there is continual high level strategic analysis of claims to help mitigate costs and ensure workers resume their normal duties as soon as practicable.
• Assisting the HSEQ management team with claim analysis to identify the agency of injuries to address shortfalls.
• Attending claims reviews with insurers on a quarterly basis ensuring effective management and coordination of work-related injuries and illnesses,

This is a permanent part-time role : 23 hours per week.

• Minimum 5 years of experience as an Injury Management Coordinator, including Return to Work Programs in a similar role
• In-depth knowledge of workers' compensation laws and regulations
• Experience in the Oil & Gas sector will be highly regarded but is not essential.
• Excellent communication and interpersonal skills
• Ability to work independently and as part of a team
• Strong attention to detail and ability to manage multiple tasks simultaneously
• Proficient in Microsoft Office suite
• Allied Health qualification - Physiotherapist, Occupational Therapist, Exercise Physiologist, or similar
• Certificate in Worker’s compensation and Injury Management (desirable); or
• FNS41915 CERT IV in Personal Injury Management (desirable)

Key Responsibilities

• Customer Relationship Management: Build and maintain strong relationships with new customers by understand their needs, challenges, and goals to proactively address their specific business needs
• Onboarding: You will conduct online and face to face onboarding meetings with new Retinue customers, gaining the relevant information to help our Accounting teams best support them on an ongoing basis

• Training: Upskill clients on Xero software, ensuring a smooth transition and successful adoption of the platform
• Advocacy: Be a strong advocate for not only our customers, but our brand within the company.
• Travel: You may be required to travel to clients’ worksites daily.

Requirements

• At least 1 year in a face-to-face, customer centric role. Ideally, dealing with SME clients
• Previous experience within customer success, account management or sales highly regarded
• Valid Australian drivers license and access to a vehicle on weekdays

We are on the lookout for an experienced Administration Coordinator to join our team at our Residential Aged Care home, St Peters in Lane Cove. 

Reporting to the Administration Manager, you will be someone who thrives in a busy and challenging environment while at the same time providing great customer service to our residents and families.

This is a Monday - Friday role - 60 hours per fortnight

Using your highly developed organisational and problem-solving skills, you will provide a variety of administrative support services including:

• General reception duties including front line telephone enquiries
• Coordinating tours with prospective new residents & families
• Managing new resident admissions documentation
• Staff rostering
• Processing of invoices
• Managing all staff documentation and filing including coordinating and onboarding of new staff

To be successful in this role you will have strong IT skills and the ability to pick up new systems quickly. You will also need:

News Editors are an integral part of the Nine News production team. We are looking for candidates that want to thrive in a dynamic and fast-paced workplace, who can work well in both a team environment and autonomously. The role collaborates with producers and reporters to create high-calibre content across multiple news programs. News Editors are creative, have excellent attention to detail and technical accuracy. News is a 24/7 business and candidates must be available to work a 7 day rotating roster. This role will be based in the office full time. 

Day to day includes but won’t be limited to: 

• Editing material for Nine News broadcasts, including voice overs, grabs, overlay, and news packages as directed by the News Edit Shift Leader.
• Occasionally edit feature-style packages for various news and current affairs programs, including online content.
• Occasionally engage in production editing for Today Show and Today Extra.
• Maintain availability for a 24/7 roster, accommodating early starts and late finishes.
• Compile vision for archive and ensure timely delivery of edited material.
• Promptly escalate potential technical issues to the Supervisor and/or engineering.
• Prioritise punctuality, attention to detail, and accuracy.
