Our Client Solutions team is seeking a Bid Manager to join their team and support the growth across our Integrated Facility Management (IFM) business.

In this opportunity you will draw upon your extensive experience in leading and winning complex and high value bids, to galvanise a diverse business into presenting a unified proposition that surpasses any others. To do this, you will be an expert in business writing as well as use bid management methodologies to define the opportunity, establish the strategy and execute the roadmap to success.

This is a 6-8 month opportunity with the possibility of becoming a permanent position. 

About the Role:

• Lead and project manage the planning, preparation, review, and submission of bid responses (including expressions of interest, tenders, proposals and presentations)
• In consultation with the Bid Director, review all proposals prior to initiation, determine the strategic fit of the proposal (go/no-go)
• Study tender documents and review aspects of tender documents for win strategies, for success and market growth
• Provide leadership to the proposal preparation resources, ensuring an understanding of scope, implementing bid strategies, appropriate content, monitoring and meeting proposal preparation timelines
• Manage input from the bid team and from key stakeholders and Subject Matter Expert (SME) Take ownership of the proposals to ensure bids are compliant ad are submitted in a timely manner and to a high-quality standard
• Develop, maintain, and share reusable intellectual property and content
• Own and continually improve the bid process and sub processes
• Share best practices so that successes can be replicated by fellow team members

About You:

• Experience in Facilities Management and preferably PPP experience
• Hands-On experience with bid submissions spanning across multiple geographies
• Proven project management skills and highly developed ability to lead large groups through facilitation to achieve required bid solution outcomes
• Ability to identify priorities and manage competing demands and meet deadlines
• Ability to drive process and bring structure to disparate functions within the context of a bid
• Demonstrated ability to work in teams and within a complex team environment
• Excellent interpersonal skills and customer interaction skills
• Demonstrable customer centricity attitude
• Tertiary qualifications in business, property or similar preferred

A DAY IN THE LIFE OF

The Event Specialist is responsible for a multitude of facets, from event planning, logistics, and sales to execution. You will be the ambassador of our brand, the driving force behind the events programme, creating unique experiences for our target audience, our members and the greater Flexi Group community.

We are looking for a fun-loving, highly energetic and organised individual who is passionate and has an entrepreneurial mindset to drive business.

This individual will oversee multiple events across our spaces from start to finish, going above and beyond to ensure weekly and monthly events run smoothly.

ADMINISTRATION AND FINANCE

• Build a series of engaging and diverse events as per our event categories, Business, Community-Bonding, Entertainment and Wellness, to contribute to the growth of creative communities. 
• Working alongside the Head of Operations to set the Annual Community Events Calendar, including reporting and forecasting the total of events and the results for each quarter.
• Guide the Community Team to fill up their location’s event calendar and follow the 8-week workflow to ensure they achieve success. From brainstorming, reaching out to potential collaborators, event promotion and overseeing execution plans.
• Ensure meeting rooms are booked on the booking platform. 
• Support with creating quotes and invoices to vendors and collaborators where necessary and ensure that payments are made. 

EVENT EXPERIENCE AND OPERATIONS 

• Meet with event organisers, members or potential members to understand their needs to coordinate the team and conduct event tours to showcase the space. 
• Record and manage all event leads on the system and use the data for marketing outreach.
• Frequent onsite event support where needed, support the Community Teams to lead the events and assist in any way to ensure smooth execution.
• Liaise between the Community Teams and Marketing Team to strategise on creative events promotions to boost event reach and attendance.
• Conduct regular check-ins with each location - debrief on hosted events, advise to improve event performance and execution efficiency and offer support on upcoming events.
• Oversee and execute events on the day, ensuring every team member knows their role and when they should take breaks, every event organiser knows the run of the show, and every guest has their expectations exceeded.
• Ensure the location is ready prior to an event, including moving furniture, room layout and set-up, catering and crockery preparation, space resetting and cleanliness, etc. 
• Meet with event organisers, caterers and guests to ensure that they are familiarised with the space and have the tech set up for their event; assist with troubleshooting technical issues, equipment is set up, and wifi details are shared.
• Follow up with event organisers after the event is held to continue the relationship and gain feedback and action learnings.

SALES AND PARTNERSHIPS

• Streamline the process of private events by identifying and improving all possible touch points - from the method of receiving and collecting information, assigning to location teams, passing on for execution, and following up.
• Manage all incoming private event space rental leads and coordinate with the Community Team to confirm bookings and arrangements.
• Analyse private events sales performance on a monthly basis and work closely with the Marketing Team to create packages and promotions for private event spaces.
• Outreach in social events or related functions on behalf of our brands to attain more leads for event bookings.
• Outreach to potential partners to build up brand awareness and benefit community engagement.
• Liaise with suppliers and vendors and negotiate prices to ensure profitability with events. 
• Meet with catering suppliers to have menu options to provide guests with menus to suit various needs and occasions, i.e. standing canapes, drinks reception, lunch catering, etc. 

TECH SUPPORT

• Knowledge of all tech and AV on-site to support members and guests with set-up and troubleshooting.
  Assist with troubleshooting printers, equipment in meeting rooms, etc. and liaise with IT support if needed. 

PEOPLE

• Train new Community Team hires in event processes, planning and execution.
• Work closely with Community Teams to create best practices that help build a more robust and more thriving community.
• Manage timelines and schedules for those working events: Barista, catering, adhoc team members, community team.
• Be the go-to person between Community Teams and Marketing Team to ensure Community events and Private events are both marketed via various platforms effectively.
• Work with the Country Manager to reinforce locations to make progress with events planning on a regular basis.

EXPERIENCE AND REQUIREMENTS

• Two years experience in a customer-facing position, ideally within entertainment and events.
• Personable with strong verbal and written communication.
• Exceptionally organised with the ability to multitask.
• Thrives under pressure and is solution-oriented.
• Reliable, self-driven, with the ability to work with teams and independently.
• University Degree in Events or a related field is an advantage.
• Proficient with Google Drive and Sheets.
• Good business acumen.
• Ability to manage critical situations and take action quickly.
• Prior experience in coworking, a startup business or Events would be an advantage.

The Senior Microsoft 365 Engineer plays a key role as a Level 3 Support team member of our Microsoft 365 Centre of Excellence. As a member of this team, you will be responsible for designing, building and supporting solutions end to end for our customers. You will troubleshoot technical issues for customers to show how these products can make businesses more productive, collaborative, and innovative. You will be accountable for delivering a first-class experience for consumers of our Intelligent Workplace services.

Focusing on Microsoft 365 enablement and productivity outcomes for our customers including workloads spanning data, files, communications and collaboration, security and the identity and access management that ties these together.

This role be based in our Adelaide, Brisbane, Canberra, Melbourne, Perth and Sydney office. We like to bring people together in person when we can, but we are mindful of the benefits of working from home for work/ life balance. Due to customer requirements, this role will require Australian Citizenship and eligibility to obtain an AGSVA clearance.

What you’ll do

At the moment, as a Senior Microsoft 365 Engineer you will be focused on:

• Provide technical leadership for customers Microsoft 365 environments
• Using tools and processes to deliver services to customers in accordance with SLAs
• Operational support of customer systems including proactive monitoring of systems, assisting with incident resolution, performing standard and non-standard changes
• Identification of inefficient procedures or processes and suggesting improvements for implementation
• Produce accurate, concise, and timely reports as required
• Take responsibility for technical aspects of solutions such as supporting bid responses, product and solution briefings, projects, proof-of-concept management, and training of Datacom support staff.
• Creation of design documents (HLD, DDD and LLD)
• Assume the role of technical leader or design engineer in projects as required.
• Follow best practice methodologies and adhere to recognised ITIL processes (EG: Change/release)
• Provide governance and support to customers Microsoft 365 environments

We are seeking a highly ambitious payroll accountant to join our finance team in this newly created role.

As a Payroll Accountant overseeing Employment Hero’s internal payroll across multiple geographies, you play a pivotal role in ensuring accurate and compliant payroll processing on an international scale. Your responsibilities include meticulous review of payruns, collaboration with outsourced payroll providers, and coordination with diverse stakeholders across different regions. You will also be working closely with the accounting and compliance teams to ensure payroll-related journals and filings are processed accurately and in a timely manner.

The ideal candidate will be someone who is a great communicator with stakeholder management experience and who has great time management skills to meet deadlines.

As a Payroll Accountant, you will:

• Review payruns from the outsourced payroll provider for multiple geographies (AU, NZ, UK, SG, MY, PH), ensuring compliance with diverse international payroll regulations
• Navigate and understand the complexities of payroll processes across different countries and regions and resolve any issues/discrepancies
• Review WFH expenses
• Processing payroll-related journal entries and filings in a timely manner (eg. PAYG/PAYE, payroll tax, super, workers compensation insurance renewals, etc)
• Serve as primary point of contact for Finance with the rest of the business and external vendors in relation to all payroll matters
• Prepare monthly balance sheet reconciliations
• Assist with cashflow forecasting of payroll and payroll-related expenses
• Assist with external audits
• Propose and implement process improvements that enhance the efficiency and accuracy of the global payroll review process
• Testing of automated payroll
• Assist with GT payruns, as needed
• Other adhoc duties as needed

What will you bring 

• 2 - 3 years experience in a similar role
• Currently studying for CA/CPA qualification
• Relevant degree in finance/accounting 
• Experience running payroll in Australia and New Zealand is essential; experience running payroll in other geographical areas will be highly advantageous
• Intermediate to Advanced experience with Excel/Google Sheets
• Keypay experience essential

The Lead Technical Specialist is responsible for leading the Technical Specialists team in providing technical advice, guidance and support to the Claims team on technical assessment and case management matters, to assist in reaching desired claims durations and outcomes in line with the terms and conditions of the policy. A key focus of the role is to optimise assessment quality within the Income Protection, Life, Trauma and TPD portfolios and support Claims Consultants to build their capability in line with the TAL claims capability and delegated authority frameworks. What you will be doing
