• Day to day administration of general contractor’s contracts and associated work orders.
• Assisting with the preparation and reviewing of general contractor’s notices and claims in accordance with contractual entitlements.
• Maintaining tracking registers including NOD’s, EOT’s, RFI’s, Change Orders, and shop drawing submissions.
• Monitoring and tracking the status of RFI’s and equipment submission approvals. This will include the reporting of their status and potential risks including the closeout of items in a timely manner.
• Establish and maintaining required project records, registers, and schedules including but not limited to RFI’s, shop drawing submissions, NOD’s, EOT’s, and change orders.
• Secure project documentation (including close out documentation) from the general contractor as required.
• Assist with the creation, reviewing, and closing out of punch lists and Operation Manuals.
• Review and undertake initial assessment of change orders prior to review by quantity surveyor.
• Assist in the resolution of change orders, commercial, and contractual issues.
• Record non-compliance with the contract plans and specifications and notify construction manager within a timely manner.
• Assist with the preparation of responses to general contractors and supplier’s RFI’s, submittals, contractual notices, contractual claims, and other contractual correspondences in accordance within the time frames specified in the contract.
• Review and advise on all claims, change orders, and payment claims in accordance with contractual entitlements.
• Check, verify, or comment upon any or all the project insurances including the verification of GC and Supplier insurances and bond requirements, in accordance with the contract.
• Chair and contribute to regular commercial meetings to address and status subcontracts, contingency, change orders, payment claims, and any other commercial items.
• Provide support/manage the dispute resolution process.
• Assist in obtaining prompt responses to RFI’s in conjunction with design team
• Coordinate in obtaining the Occupational Certificate and final inspection requirements with the certifying authority, including the tracking of progress, highlighting risks, and the management of close out items required from all parties.
• Review the final as-built plans upon project completion (prepared by others) and providing input where possible to make sure that the documentation is accurate.
• Prepare inspection documentation for development of progress payments.
• Provide on a monthly basis a cash flow demonstrating monthly expenditure against the schedule.

• Project Leadership: Provide leadership and direction for the data center construction and fitout project.
• Client Representation: Act as the primary point of contact for all client-side matters, advocating for our needs and ensuring alignment with project objectives.
• Stakeholder Management: Cultivate strong relationships with a diverse group of stakeholders, including architects, engineers, contractors, subcontractors, and internal teams.
• Scope & Schedule Management: Develop and manage a comprehensive project scope document (PSD) and a detailed project schedule, proactively identifying and mitigating risks that could impact timelines.
• Budget Control: Maintain a strict budget and track all project expenditures, ensuring cost-effective delivery.
• Contract Administration: Oversee all construction and fitout contracts, ensuring compliance with terms and conditions.
• Quality Assurance/Quality Control (QA/QC): Implement a robust QA/QC program to guarantee the project meets all data center industry standards and best practices.
• Communication & Reporting: Maintain transparent communication with all stakeholders, providing regular progress reports and updates.

What you can expect in the role:

To provide support to GYG restaurants to deliver best-in-class service to our Guests by providing adequate coverage for Supply Chain Customer Service. In addition, to act as the key point of contact for all enquiries regarding the Help Centre and assist the business by working closely with all departments to ensure that restaurant enquires, projects and tasks are resolved.

• Answers all enquiries that come through the Zendesk Customer Service Software, in a professional and friendly manner for restaurants in GYG Australia, GYG USA and Hola Central (Aus).
• Liaises with all stakeholders to actively assist, manage, and update restaurants, Culinary & Operations Coaches and Franchisees with their questions.
• Ensures that all enquiries coming through and requiring escalation have the groundwork completed and information captured before being passed on.
• Conduct Training for broader business as required.
• Configuration and routing of Tickets to ensure the system is maintained and up to date.
• Support Crunchtime configuration to ensure the system is maintained and up to date.
• Provides reporting and insights weekly and monthly on tickets being received.
• Prepare Monthly Supply Chain reports in conjunction with the Help Center Team Leader.
• Support projects within the business to provide data, insight, and knowledge.

Solving daily issues: proactive communication with Restaurants and Suppliers via various communication channels to address Supply and/or Quality issues as required to maximize inbound Customer Service.

You’ll enjoy this role if you have:

• A minimum of 2 years’ experience in a similar role in a multi-site environment in QSR, hospitality, or Food and Beverage.
• Experience in customer service or customer-centric fields.
• High level of attention to detail and sound time management/organizational skills
• Judgment and problem-solving skills, including exceptional influencing and conflict resolution skills.
• Excellent interpersonal and communication skills, both written and verbal.
• Has a passion for the GYG brand and the ability to display and promote the energy and enthusiasm associated with the brand.
• Strong computer/IT acumen including the ability to use Microsoft Office software (Word, Excel, PowerPoint, and Outlook)
• Ability to develop competence in various GYG systems including Zendesk, Crunchtime, and related tools.
• Commitment to working in a team; able to learn from others and contribute to other’s success.
