What will a day in this role look like:

• Schedule meetings and travel arrangements
• Assist with arranging group events, both internal and external
• Assist and coordinate compiling professional documents, presentations, and bid documentation.
• Help with the onboarding of new employees including systems, policies, and procedures.
• Collaborating with other teams within the broader AECOM business such as the office administration support network, finance, facilities, safety and IT to expedite business needs for individuals and teams.
• Assisting with projects to manage and coordinate processes from concept to completion and liaising with stakeholders on behalf of the project team to support the effective delivery.
• Other day-to-day admin and housekeeping tasks as required.

Our reception is the first point of in-person contact for many of our clients.  We are looking for an experienced administrator who has worked in a healthcare or medical environment.  We also require a person who has exceptional customer service skills to ensure our clients have a positive experience at every contact.

This is a permanent full-time position.

About the role

• Reception - greeting clients, answeing phone, scheduling and rescheduling appointments
• Administration - actioning emails, preparing resources for the clinicians, typing clinical notes for clinicians, preparing letters for GPs, filing client records, shredding confidential information, assist with ensuring clinicians' schedules are full
• Accounts - banking cash or cheques, processing payments (in person and via phone), creating invoices, issuing invoices via email, emailing receipts to the bookkeeper, end of day reconcilitations, NDIS invoicing and claiming online, chasing outstanding payments
• other general office duties - keeping the clinic space neat and tidy

You'll be there to support the sales reps and ensure our that the customer journey from sale, to delivery and installation is seamless! You're really there to WOW all of our customers, be that over phone or email.

• Assist the Commercial Account Executives by processing incoming sales orders, providing support with pricing and technical enquiries and manage accuracy of internal pricing and product data.
• Provide quality customer service by demonstrating in-depth knowledge of available range of products, setting timeframes and keeping customer informed throughout each stage of the ordering process.
• Manage customer orders from start to finish, including responding to enquiries, processing sales orders, raising purchase orders and liaising with manufacturers regarding stock and delivery timeframes.
• Liaise with Customers and Account Executives to develop and manage a delivery schedule.
• Manage multiple Customers Nationally.
• Regularly communicate with manufacturers to ensure pricing and product information is accurate and update where necessary, as well as monitoring stock levels and availability. 
• Ensure the DC’s are informed well in advance of any scheduled bulk deliveries due into the warehouse or out to customers.
• Provide assistance and training to more junior members of the team.
