We are seeking a proactive and detail-oriented full-time Administration Manager to join our Wholesale team. If you are passionate about providing seamless administrative support and thrive in a fast-paced environment, this role is perfect for you.

In this position, you will report to the National Administration Manager and be based onsite at our Eagle Farm Wholesale location. You will play a crucial role in ensuring that our QLD Wholesale administration operations run smoothly. Your eagerness to learn, positive attitude, and strong organisational skills will be essential to your success in this role.

• Manage stock invoices for purchases and sales.
• Daily follow-up on outstanding debtor accounts.
• Reconcile monthly company credit card statements.
• Prepare daily stock on hand reports.
• Enter approved supplier and freight invoices for payment.
• Oversee tolls and fines management.
• Conduct end-of-month vehicle stocktakes.
• Handle used vehicle acquisitions with QLD Transport.
• File electronic QLD Transport documents according to regulations.
• Coordinate cash management for Queensland registration plates for the Wholesale QLD team.
• Work with the Registration Compliance Officer for interstate plate cash management.
• Process staff expense reimbursements with Head Office.
• Manage inventory and order stationery and office supplies.
• Handle incoming and outgoing mail and general office tasks.

About the Role:

We are seeking an experienced Program Manager to lead and coordinate the process standardization exercise across multiple subprograms within our client’s large-scale technology platform modernization initiative. This role is critical to ensuring consistency, efficiency, and alignment across the enterprise, driving the successful transformation of our technology infrastructure.

Key Responsibilities:

• Program Coordination: Oversee and manage the process standardization efforts across various subprograms, ensuring alignment with the overall modernization strategy.
• Stakeholder Management: Engage with key stakeholders, including senior management, subprogram leaders, and external partners, to ensure clear communication and collaboration.
• Process Improvement: Identify, analyze, and implement process standardisation to enhance efficiency and effectiveness across the technology platforms.
• Standardization Framework: Develop and maintain a comprehensive standardization framework, including policies, procedures, and best practices.
• Risk Management: Identify potential risks and develop mitigation strategies to ensure the successful implementation of standardized processes.
• Performance Monitoring: Establish metrics and KPIs to monitor the progress and impact of process standardization efforts, providing regular updates to senior management.
• Change Management: Lead change management initiatives to ensure smooth adoption of standardized processes across the organization.
• Training and Development: Provide training and support to subprogram teams to ensure understanding and adherence to standardized processes.

Qualifications:

• Education: Bachelor's degree in Business Administration, Information Technology, or a related field. A Master's degree is preferred.
• Experience: Minimum of 7-10 years of experience in program management, preferably with a focus on process improvement and standardization in a large enterprise environment.
• Skills:
• Strong project management skills, with a proven track record of managing complex, multi-faceted programs.
• Excellent communication and interpersonal skills, with the ability to influence and engage stakeholders at all levels.
• Analytical and problem-solving skills, with a keen eye for detail.
• Proficiency in project management tools and software.
• Knowledge of industry best practices and standards in process improvement and technology modernization.
